Fleet Management Officer

FLEET MANAGEMENT OFFICER

Location: Central Region

Reports to: Operations Manager/ General Manager

PURPOSE OF THE ROLE

To maximize fleet availability, utilization, and profitability while ensuring all rental vehicles are safe, clean, well-maintained, and compliant with road regulations.

KEY DUTIES AND RESPONSIBILITIES

1. Rental Operations: Ensure daily readiness of all vehicles for hire – cleanliness, fueling, servicing and pre-rental inspection.
2. Fleet Utilization: Monitor and maximize vehicle utilization rate, minimize idle days, and manage vehicle rotation between branches and Airport.
3. Maintenance: Schedule all preventive maintenance, servicing, tyre management, and manage relationships with garages / service providers.
4. Tracking & Control: Manage GPS tracking system, monitor driver behavior, speeding, and unauthorized use. Ensure fuel control.
5. Compliance: Ensure all vehicles have valid Insurance, COF, Road Permits, Airport Permits and are roadworthy at all times.
6. Cost Control: Control fleet costs – fuel, repairs, spares – and prepare monthly fleet performance and profitability reports.
7. Accidents & Claims: Handle accident reporting, police reports, insurance claims and damage recovery from clients.
8. Drivers & Staff: Supervise and roster drivers, conduct defensive driving and customer service training.

QUALIFICATIONS AND EXPERIENCE

• Diploma / Degree in Fleet Management, Transport & Logistics Management, Automotive Engineering, Business Administration.
• Minimum 3-5 years’ experiencein Fleet Management, preferably in a Car Hire / Car Rental Company in Malawi.
• In-depth knowledge of car hire business and Malawi vehicle rental market.
• Valid Malawi Driving Licence – Class B, C1 or C. Must be a competent driver.
• Computer literate – Excellent in MS Excel, Fleet Management Software and GPS Systems.
• Strong knowledge of vehicle mechanics is necessary.
• Aged 30 – 45 years, with high integrity and excellent communication skills.

Key Competencies: Cost-conscious, honest, proactive, good negotiator, able to work under pressure and during weekends / holidays.
